In Mail.app, open Preferences and click on the Signatures tab. There you will see 3 columns, the 1st one are your mail box accounts, the 2nd one are your custom signatures and the 3rd column is the signature detail preview. You can create prepared text, called a signature, to include when you send email messages. For example, you can create one signature for your work email and another signature for your personal email.

Create signatures

1. In the Mail app on your Mac, choose Mail > Preferences, then click Signatures.

2. In the left column, select the email account where you want to use the signature.

   If All Signatures is selected when you create a signature, you’ll need to drag the new signature to an email account before you can use it.

3. Click the Add button below the middle column.

4. In the middle column, type a name for the signature.

   The name appears in the Signature pop-up menu when you write a message.

5. In the right column (the preview), create your signature.

   You can use the Edit or Format menus in Mail to change the font or layout, turn text into links, or check spelling. To add an image, drag it into the preview area.

If you want your signature to appear after the original text of messages you reply to or forward, deselect the “Place signature above quoted text” checkbox.

Delete signatures

HTML Email Signature - Mail enhances these capabilities by allowing customised creation of email signatures from HTML. Open Apple Mail and create a new signature by selecting Mail Preferences. Click on the Signatures tab at the top of the window. You should then see your email accounts in the left hand side. Select the email account that you would like your email signature to be associated with and then press the + icon at the bottom to create a new signature.

1. In the Mail app on your Mac, choose Mail > Preferences, then click Signatures.

2. Select a signature in the middle column, then click the Remove button .

When you delete a signature from All Signatures, it’s deleted from any account that uses it.

Automatically add a signature to emails

You can choose a signature to automatically add to messages you send.

1. In the Mail app on your Mac, choose Mail > Preferences, then click Signatures.

2. Select an account in the left column.

3. Click the Choose Signature pop-up menu, then choose a signature.

   If you have more than one signature for an account, Mail can automatically alternate between them—choose At Random or In Sequential Order from the pop-up menu.

If you want to stop having a signature automatically added to your messages, click the Choose Signature pop-up menu, then choose None.

Add a signature to emails yourself

1. In the Mail app on your Mac, click the Signature pop-up menu in the message you’re writing.

2. Choose a signature.

   If you don’t see an expected signature in the pop-up menu, choose Edit Signatures to open Signatures preferences and verify the signature is in the account.

Remove a signature from emails

1. In the Mail app on your Mac, in a message you’re writing, click the Signature pop-up menu.

2. Choose None.

Depending on how a recipient’s mail server handles signatures, your signature may appear as an attachment or image to the recipient.

If you use iCloud Drive on your Mac and other devices, your signatures are automatically updated and available on those devices. See Use iCloud Drive to store documents.

If you need to send a signed PDF document, you can use Markup in Mail to create a handwritten signature and add it to the document. You can also use the Preview app to fill out and sign PDF forms.

On the Mac, you can use Mail's preferences to create multiple rich signatures that contain stylized text in different colors, images, links, and even your vCard, and assign them at will to different email messages and separate accounts.

The Mail app on iOS doesn't offer anywhere near as many options, but you can set up separate signatures for each email account you have, and you can include a rich HTML signature.

How to create separate signatures for each email account

Out of the box, every email account created on an iPhone or iPad defaults to the signature, 'Sent from my iPhone' or 'Sent from my iPad,' respectively. If a simple plain-text signature works for you, here's how to change it to something a bit more personal.

1. Tap Settings.
2. Scroll down, choose Mail.

3. Scroll down, select Signature.

4. Tap Per Account. Notice each of your email accounts can now have a separate signature.
5. Type a new signature, when applicable.

6. Tap Mail.

Your new signature will be included at the bottom of all new email messages you create.

How to create rich HTML signatures on your iPhone and iPad

Although Mail on iOS can display rich HTML email messages, you can't do much more than add bold, italics, and underlines to message text. There is, however, a way to enhance your signature with rich HTML formatting. You can use any app that can create rich HTML text, but probably the easiest way to do this is to use the rich text signature from the email app on your computer.

Once you've created an HTML signature on your Mac or another device:

1. Send yourself an email that includes your rich HTML signature.
2. On your iOS device, tap Mail.
3. Open your inbox.

4. Tap the email message to open it.

6. Switch to your Home screen and tap Settings.
7. Tap Mail.

8. Choose Signature.

9. Tap and hold the existing signature, then choose Select All.
10. Tap Paste. When you paste your signature, Mail will automatically strip it of your original formatting.

11. Select Mail to save the new signature.

Your new signature will be included in any email messages from that email account. As a bonus, if your signature consists of an email address or phone number, you'll be able to send an email to that address or dial that number by tapping it.
